How Does This Work?

As you are no doubt aware, there's a lot of products out there to sell. Are you expected to enter them all before you can use the system? No. There are basically two scenarios.

Scenario 1

You have to manually enter details from a price book. In this case, you only want to key in what you have to. The result is that the supplier range in your system is a subset of the supplier range available in the real world. There is nothing wrong with this. You still get great benefits from the system. You can enter all the products if you want but most retailers won't have the time or resources to do this.

Scenario 2

The supplier can provide an electronic host update. In this case, you end up with all the supplier's products in the system. This is equivalent to the full supplier range discussed above. However, you may not sell all of these so your set of items will be smaller. In this case, when you do decide to sell a new item available from the supplier, it is already in your system and you simply need to shop it. This is simply the act of telling the system 'I want to sell this item now'.

In real life, many retailers find that they are a combination of the two scenarios because some of their suppliers are able to provide an electronic update file while most will not.

In both scenarios, you use the Items form to enter details. When you add a new product to the system, it is assigned a number called the IPN (Independent Product Number). This number is used extensively throughout the system for reporting and stock control purposes.

The system easily handles the case where one product is available from two different suppliers. When you retrieve the product in the Items form, you see the details for each supplier. The Costs/Sells form in Items displays the summary cost and sell details. The location range, that is the detailed information for each location, is available by clicking the Range tab.
