Pre-Sale Gift Certificates provide a means of tracking gift certificates and enhance the sales function. Consider the following:
Head office has gift certificates printed up. They might be printed in batches of 100 certificates on nice paper.
These certificates are then sent to stores for sale.
When a store sells a gift certificate, the system should make sure it is a certificate that has been assigned to the store.
So how can this be done in Merchant? The POS Credit Entry function takes care of most of the details:
Head office will use POS Credit Entry function to create a new transaction. The Location would be the head office location code. They would select Pre-Sale Gift Certificate as the Type. The Reason would be Bulk Create. The POS Credit Start# and POS Credit End# would be the number range of the preprinted gift certificates. They would enter the item number that represents the gift certificate number. When the Save button is pressed, the system will automatically create entries for these gift certificates. The Pre-Sales Gift Certificate Report can be used to monitor these certificates.
When the gift certificates need to be sent to a store, head office uses POS Credit Entry to create a new transaction. Again they specify the Type as Pre-Sale Gift Certificate and the POS Credit Start# and POS Credit End# would be the range of numbers being sent to the location. The Location will be the location to where the gift certificates are being sent. The Reason will be Change Location. When the Save button is pressed, the system will move the pre-sale gift certificates from head office to the new location. The same Pre-Sales Gift Certificate Report used at head office can also be used at the store to monitor these certificates.
At POS, the system is able to use these Pre-Sale Gift Certificates. (In order for the following to work you need the Perform Pre-Gift Checks option in Till checked on.) When a gift certificate item is sold and the gift certificate number entered, the system will perform two checks:
1. Does the Pre-Sale Gift Certificate exist? If not, the certificate cannot be sold.
2. Is the value of the item sold the same as the value of the Pre-Sale Gift Certificate? If not, the certificate cannot be sold.
If the sale is successful, the system will record that a Gift Certificate has been sold and the Pre-Sale Gift Certificate will be marked as used.
